Documents Administrator / Part time

Summary of role

Part time:   20 hours a week

The Documents Administrator will be a key member of the US organization, ensuring that our management system documentation is generated, revised and maintained in an efficient and professional manner while being compliant to the requirements of the ISO9001:2015 Management System Standard.

This role is a key interface between the organization and its document management system application software, as well as the technical document generation team located in Ostenfeld, Germany.

The Documents Administrator role also provides general support to other elements within the organization as required, providing important administrative support to a diverse internal customer base.

Key responsibilities

  • Administer DWT Inc.’s Document Register, the list of all approved management system documents used by the organization, as well as be the primary owner for the region of the larger organizations Technical Document Register.
  • Oversee the companies’ document database.
  • Classify documents by type, area and security level.
  • Assist in determining the company’s document management policies to ensure compliant and secure access to electronic and physical records.
  • Be the focal point of all document generation and revision activities in DWT Inc. both locally and when interfacing with our global team.
  • Play key role in implementing the company’s records management system.
  • Play key role in the implementation and ongoing maintenance of companies DMS.
  • Administer document and system access to ensure security of system and safety of the company’s master documents.
  • Support new employee on boarding activities as well as the Training Team in implementing the companies Employee Development program.
  • Generate training modules related to the documents and records management programs and assist with employee training.

Dein Profil


· Experience in a similar role or a combination of knowledge and experience with document generation and control programs.

· Excellent knowledge of MS Office products (WORD and EXCEL)

· Knowledge of DMS software (SharePoint, SAP or other)

· Good presentation skills

  • Excellent English language skills
  • Further language skills a plus (German, Spanish, French)
